AI Meeting Prep Checklist: Before, During & After
A step-by-step checklist for using AI to prepare for, capture, and follow up after meetings.
This checklist turns AI from a nice-to-have into a meeting multiplier. Use it before, during, and after every important meeting.
Before the Meeting (15 min)
Research attendees using Perplexity — recent news, role context, likely priorities
Paste the meeting agenda + any pre-read materials into Claude
Ask Claude: "What questions should I be prepared to answer?"
Ask Claude: "What are the 3 most important things to accomplish in this meeting?"
Draft your key talking points (2-3 sentences each)
If presenting: run your deck through Gamma for design polish
Enable your meeting assistant (Fireflies/Otter/Fathom) and test the connection
During the Meeting
Let your AI meeting assistant record and transcribe automatically
Use the highlight/bookmark feature for key moments (decisions, action items, surprises)
If a question comes up you can't answer: note it, don't fake it — AI will help after
Track action items with owner names as they arise
After the Meeting (10 min)
Review the AI-generated summary from your meeting assistant
Paste the transcript + summary into Claude
Ask Claude: "Extract all action items with owners and deadlines"
Ask Claude: "What was the most important decision made? Any disagreements to watch?"
Draft a follow-up email using the meeting follow-up prompt template
Add key insights to your Notion knowledge base with appropriate tags
Schedule any follow-up meetings identified during the call
