Weekly AI Workflow Planner: 5-Day Integration Template

A Monday-to-Friday planner for systematically integrating AI into your workweek.

Weekly AI Workflow Planner: 5-Day Integration Template

Trying to learn all AI tools at once leads to overwhelm and abandonment. This 5-day planner introduces one AI habit per day, building a sustainable workflow by Friday.

The goal isn't to use AI every hour — it's to use it in the right hours for the right tasks

Monday: AI-Powered Email

Tool: Claude or ChatGPT · Time: 30 minutes

Today, use AI for every email that would normally take you more than 3 minutes to write. Don't overthink it — just paste the email you're replying to and your key points. Let AI draft, you edit.

Tasks:

  • Draft at least 5 emails using AI today
  • Track how much time each draft takes vs. your normal approach
  • Note: which emails benefited most from AI? Which still needed heavy editing?
Goal: By end of Monday, AI email drafting should feel natural, not experimental.

Tuesday: AI Meeting Assistant

Tool: Fireflies or Fathom · Time: 15 min setup + meetings

Set up your meeting assistant before your first meeting today. Let it record and transcribe everything. After each meeting, review the AI summary and compare it to your mental notes.

Tasks:

  • Install and configure your chosen meeting assistant
  • Record at least 2 meetings
  • Review the AI summaries — are they accurate? What did they miss?
  • Send one follow-up email drafted from the AI meeting summary

Wednesday: AI Research

Tool: Perplexity · Time: 45 minutes

Replace your normal Google research workflow with Perplexity today. Every time you would normally open Google, use Perplexity instead.

Tasks:

  • Use Perplexity for at least 5 research queries
  • Try Pro Search for one complex question that would normally take 20+ minutes
  • Save a research summary from Perplexity to your notes
  • Compare: how much faster was this than your normal research workflow?

Thursday: AI for Documents

Tool: Claude · Time: 1 hour

Today, bring your hardest document task to Claude. Upload a long report, a dense contract, or a research paper. Ask questions about it. Summarize it. Extract the key points.

Tasks:

  • Upload at least one long document (>20 pages) to Claude
  • Get a 3-level summary (TL;DR, exec summary, detailed)
  • Ask 5 specific questions about the document
  • Draft an executive summary or briefing from the analysis

Friday: Integrate & Reflect

Tool: All of the above · Time: 30 minutes

Review your week. Which AI tools actually saved time? Which felt forced? The goal isn't to use everything — it's to identify the 2-3 tools that genuinely improve your workflow.

Tasks:

  • Review: which tools saved the most time?
  • Decide: which 2-3 tools will you keep using next week?
  • Drop: which tools didn't add enough value?
  • Plan: how will you integrate your chosen tools into your daily routine?

Next Steps

Week 2 and beyond: keep the tools that worked. Go deeper — learn advanced prompting, explore features you didn't try. Add one new tool per month, not per week. Sustainable adoption beats enthusiastic abandonment.
